Client configuration
The Configuration module lets you set up Galaxkey to suit your personal use. Individual Users can manage this module directly.
Note: For corporate users, the client configuration is set and managed by the Corporate Administrator. Alternatively, the administrator can enable the ‘Allow personal configuration’ option for select users, who can then set the client configuration for themselves. These configurations override the corporate configurations.
Microsoft Windows & Outlook Add-in ConfigurationThis section lets you set up the Outlook Add-in and the Galaxkey desktop app. |
Each of the setting will affect the display and functioning as follows: Enable auto-update on Windows: When this option is enabled, the Galaxkey clients installed on your machines will automatically update whenever a new version is released. |
Force encryption to outgoing emails in Outlook: When this option is enabled, your Outlook is configured to send secured e-mails only. Thus, a secured email will be sent irrespective of whether you use the Outlook Send or the Galaxkey Secure & Send button. |
Enable domain check for encryption: With this option enabled, you can configure Outlook to check domains of the recipients and prompt user to send a secured mail if the domains do not match. You still have a choice to send a unsecured mail. The domain check happens when you use the Outlook Send button. |
Confirm before sending secured emails: When you enable this option, a Confirmation dialog is displayed in Outlook each time you send a secured mail. |
Authenticate user when sending email: When you choose to enable this option, you must authenticate every time you send a secured mail. |
Galaxkey Clients PolicyThe configurations in this section are applicable to all the Galaxkey clients, viz., the Galaxkey Add-in for Microsoft Outlook, Galaxkey for iOS, Galaxkey for Blackberry, Galaxkey Web Access and Galaxkey for Mac OS. |
Password Timeout: The Password Timeout defines the time in minutes for which the password is retained in memory before the user has to re-authenticate to use the functionality in the clients. The default value is set to 30. You can set it to 0 minutes to disable the timeout, whereby you need not authenticate repeatedly. |
Galaxkey Secure ShareThe configurations in this section are applicable to the Galaxkey Secure Share and access to mail in Galaxkey Web Access (GWA). |
Enable Galaxkey Secure Share File Synchronisation: This option, enabled by default, facilitates secure synchronisation and sharing of files via the Galaxkey cloud. Thus, the Files in your cloud folder (C:\Users\<logged in user>\Documents\Galaxkey Share Root\user folder\My Folder) are uploaded to the Galaxkey Cloud. These files can then be downloaded on any other Windows computer from where the user logs on to Galaxkey. Similarly, files are secured sharing is enabled when this option is enabled. If this option is disabled, you will not be allowed to use Galaxkey Cloud Synchronisation for storing and sharing files securely. |
Store sent email to GSS folder: This option, enabled by default, allows the .gxk files to be uploaded to the Galaxkey cloud. Enabling this feature is necessary to access secured mails over GWA. When a user opens the secured email using the GWA, the encrypted copy of the email stored in your GSS folder is fetched. If disabled, .gxk files are not uploaded to the GSS folder and thus, the GWA is rendered non-functional. |
Policy to retain sent emails in the GSS folders The Policy to retain sent emails in the GSS folders section defines the retention policies that are used for archiving the uploaded files. The default setting is Not Set, which means archiving is not enabled. The archiving options are available in units of duration or data size. If you make any changes in the policies, the policies will take effect only after at least once the clients are restarted. |
Encryption RulesIn Galaxkey, an encryption rule is a check that Galaxkey Add-in runs when a user clicks the Send button in Outlook. If your mail contents match the defined triggers, the add-in automatically sends a secured email. In Galaxkey, the encryption rules are validated in two clients - Galaxkey Add-in for Outlook and Galaxkey Secure Gateway (GSG). |
The encryption rules section lists all the rules defined till date. Click Add to create a new rule. |
Each field is self-explanatory. 1.After you enter the Rule Name, select the triggering condition from Encrypt if. 2.Enter the appropriate data to match with the condition in the Rule Data. Your rule data can range from simple text to a complex regular expression. 3.You can select the client where the rule is to be validated. Select the Outlook check-box if the rule is to be validated in Add-in and Secure Gateway check-box if the rule is to be validated in the GSG. If you are an Individual user, you should select Outlook. 4.When the Auditable check-box is selected, the rule is considered while maintaining the logs. 5.Finally, select the Enable policy check-box so that the rule is triggered when the conditions are met. |
You can refer the following table while defining the rules.
Note: The simple text rule data is case insensitive. When the rule data is a regular expression, prefix the search expression with the word ‘REG:’ e.g. REG:^[A-Z0-9._%+-]+@[A-Z0-9.-]+.[A-Z]{2,}$ |
When any change is made to the configurations, the clients must be restarted for the changes to be effective.
