Advanced Security Options

You can ensure that a secured email is sent from your Outlook by using one of the following security options.

Force Encryption to outgoing mails in Outlook

You can configure your Outlook to send out secured mails at all the time. Thus, even if you miss to use the Galaxkey Secure and Send button and inadvertently use the default ‘SEND’ button, a Galaxkey secured email will be sent.

The ‘Confirmation’ dialog is displayed in this case too, based on your other configurations and you can opt for all the Galaxkey functions.

Note: The setting can be enabled from Galaxkey Manager > Configuration > Microsoft Windows & Outlook Add-in Configuration.

Enable Domain Check

Galaxkey will prompt you to send a secured mail when at least one of the shared users is from a domain other than the your domain and you use the Outlook SEND button to send the mail.

Consider a scenario where the ‘To’ list has recipients from your own organization and some from others.  

When you click the Outlook ‘SEND’ button to send the mail, a security notice is displayed.

You can choose to

1.Send an unsecured mail:  When you click the ‘Send Unsecured’ button, a routine unencrypted email will be sent.

2.Cancel sending the email OR

3.Send secured email: A secured email will be sent when you select the ‘Secure and Send’ button on the alert. The Confirmation dialog will be displayed, based on your settings.

Note: The setting can be enabled from Galaxkey Manager > Configuration > Microsoft Windows & Outlook Add-in Configuration.

Policy-based Encryption

You can set up rules to configure your Outlook to always send a secured email when the rule condition is matched. These rules can be defined in the Galaxkey Manager > Configuration > Policy Manager.

These policies are based on multiple attributes like;

1.Sender

2.Recipient

3.Subject of the email

4.Content (body) of the email

5.Number and types (extensions) of attachments

6.Certain attributes of the MS Office attachments

Example:

You have set up a policy to secure any email that has the word 'Confidential' in the subject line.

1.You have to enter the word Confidential in the email subject.

2.Here, the rule condition related to subject line is satisfied.

Thus, a secured mail will be sent even if you use the default ‘SEND’ button
